Central allocations and year-end closing information for 2019-2020

A message from the School of Public Health EBO

Please be aware of the following expectations regarding spending down central allocations that will expire June 30, 2020. Typically, around this time of year, the EBO sends out a message reminding everyone that year-end is approaching and that all central allocations must be spent down prior to June 30th so that we do not lose those resources. This year, however, is different. We were all asked to help preserve financial resources during this critical time so that we could keep critical infrastructure running, ensure minimal impact to employees and protect our population against COVID-19.

In order to preserve those resources, all non-essential purchases are being limited. Because of this temporary purchasing restriction, it is likely that all central funds will not be spent this fiscal year. Any unspent funds will not be carried forward into next fiscal year.

Also in regards to year-end, please see the "Fiscal Year - 2020" year-end closing memo for important information, definitions and dates, including the following:

  • Section I contains important information on the receiving process and a definition of Old Year Expenditures.
  • Section II includes important information on purchase orders, Pcard charges, and postage, computer repair, and telephone charges.
  • Section V includes information related to grants and contracts.
  • Section VI includes information related to MyTime signoff deadlines.
  • Section XI is a list of year-end close timelines.

Any questions related to PCPS-related year-end close dates can be emailed directly to pcps@mailwvu.edu. For general questions or questions specific to the School of Public Health, please email SOPHbusinessoffice@hsc.wvu.edu.
