Managed Printing changes at HSC begin Feb. 27

Schools should identify point of contact by Feb. 12

Information Technology Services will begin removing old printer-copier devices at the HSC complex as part of the previously announced WVU Managed Printing Program on Tuesday, Feb. 27. This work will begin with the School of Dentistry and will continue across the HSC complex through June 30.

To ensure effective collaboration with ITS and HSC building supervisor Cathy Patterson, each school or department should select a primary contact and provide that name to Project Manager Becky Biser at Rebecca.Collins@mail.wvu.edu by Monday, Feb. 12.

Faculty and staff who work at the HSC campus in Morgantown should not submit any requests to relocate existing printers, as this will interfere with the deployment plan and slow down the employees who are trying to finish this work by the end of the fiscal year.

As explained in ENEWS items in April 2023 and October 2023, this initiative will make printing more flexible and secure for all faculty and staff, eliminating the risk that sensitive or confidential information sits unattended in a public location. Files sent from a computer to a printer-copier will remain in a secure electronic queue until the employee taps their ID card to release the job from any managed printer. Your ID card will be associated with your department’s funding string.

When WVU announced this program, there were about 900 multi-function devices in use across the University system. That number will be significantly reduced as part of this program, and you should not expect a one-for-one replacement at HSC. There will be fewer machines at the end of this process. Your building supervisor and the school/department contact will be notified specific numbers and locations of new printers closer to the installation dates. We will attempt to provide at least a week’s notice whenever possible.

The initial device installations at HSC will be based on current use volumes. It is important to note that these new printers will be assigned to buildings, not schools or departments. The new devices will be placed strategically, with enough capacity to support all users in that location. Once your department provides ITS with funding information, individual employees will be able to use any machine in any WVU building that has Managed Printing devices, not just at HSC.

As needs are identified and ongoing usage data is reviewed, ITS may revisit and/or expand locations. However, this would occur only after all Managed Print devices have been deployed across the WVU system, including to all county Extension offices.
